What's New in DeskbookR — Balanced Booking Algorithm and My Sharings

Our latest release brings two highly anticipated features — a balanced booking algorithm that distributes desk assignments fairly across your team, and a brand new My Sharings page to track the status of every desk you've shared.

We’ve been hard at work since our first release, and today we’re excited to share what’s new in the latest version of DeskbookR. This update introduces two features our users have been asking for since day one.

Balanced Booking Algorithm

Fair is fair — and now DeskbookR makes it automatic.

The Balanced Booking Algorithm ensures that desk assignments are distributed equitably across your team. Previously, team members who booked early would always claim the same preferred desks, leaving others to pick from whatever was left. With this update, DeskbookR intelligently factors in each person’s recent booking history and applies a fairness weighting when assigning desks from shared or managed pools.

How it works

  • When multiple team members compete for desks in a shared pool, DeskbookR considers how recently each person has had access to a preferred desk.
  • Team members who have had fewer recent desk bookings in high-demand areas are given priority.
  • Admins can configure the balancing sensitivity — from fully automated distribution to a lighter-touch advisory mode.

The result is a more equitable workplace experience and fewer grumbles at the morning stand-up about always getting the desk next to the noisy printer.

My Sharings Page

If you manage a shared desk or share your own assigned desk with colleagues on days you’re not in, keeping track of everything used to require digging through emails and calendar invites. Not anymore.

The new My Sharings page gives you a dedicated view of every desk you’ve shared, complete with:

  • Current status — See at a glance whether a shared desk is currently free, occupied, or has an upcoming booking.
  • Upcoming reservations — Know who has booked your desk and when, so there are no surprises when you come back to the office.
  • Booking history — Review a full log of past bookings on desks you own or manage.
  • Quick actions — Cancel a booking, reclaim your desk for a specific day, or extend a share — all from one place.

This feature is particularly useful for hybrid workers who generously make their desks available to colleagues on their remote days. You’re in control, with full visibility.
